1. Introduction

TotalLeads (“we”, “our”, “us”) respects your privacy and is committed to protecting personal information in compliance with British Columbia’s Personal Information Protection Act (PIPA) and Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA). This Policy explains how we collect, use, retain, disclose, and protect personal information collected through our website, landing pages, and services.

2. Personal information we collect

We collect personal information you provide voluntarily and information collected automatically, including:
• Contact details: name, email, phone number, postal code/address provided in forms.
• Business details: company name, trade, service area, average job value.
• Lead details: project description, preferred contact time, form answers.
• Technical/usage data: IP address, browser type, device, pages visited, referrer URL (if cookies/tracking are used).
We do not collect sensitive personal information (e.g., SIN, full credit card numbers) via our standard forms.

3. How we use personal information

We use information to:
• Respond to inquiries and provide services (including delivering leads to clients).
• Create, manage and optimize advertising campaigns and landing pages.
• Verify and qualify leads and deliver verification notes to clients.
• Improve our website, services, and marketing performance.
• Comply with legal obligations and for bookkeeping.
We do not sell, trade, or rent personal information.

4. Consent and withdrawing consent

By submitting information through our site or forms you consent to its collection, use and disclosure as described here. You may withdraw consent at any time by contacting contact@totalleads.ca. Withdrawal may limit our ability to provide services (for example, we cannot deliver leads if you revoke consent to share lead data with a client).

5. Third-party service providers & international transfers

We use third-party service providers to operate our business and website (examples include Wix, Meta/Facebook, Google, Calendly, Zapier). Those providers may process data outside Canada (e.g., United States). When transfers occur we use contractual safeguards and reasonable technical and organizational measures to protect data. You consent to such transfers when you use our services.

6. Data retention

We retain personal information only as long as necessary for the purposes described or as required by law:
• Lead & contact records: retained for 2 years after last contact (typical operational need).
• Client records, invoices, tax records: retained for 7 years to meet legal/accounting obligations.
• Analytics/usage data: retained for 26 months (or as permitted by platform settings).
We securely delete or anonymize data when retention is no longer required.

7. Access, correction & deletion rights

You have the right to request access to, correction of, or deletion of your personal information. To make a request email contact@totalleads.ca and include proof of identity and details of your request. We will respond within a reasonable time (normally within 30 days). We may refuse unfounded or excessive requests and will explain any refusal and available recourse.

8. Security

We implement reasonable administrative, physical and technical safeguards (access controls, HTTPS, secure passwords, vendor assessments) to protect personal information. No system is completely secure; in the event of a data breach we will comply with applicable breach notification requirements.

9. Cookies, pixels & tracking

Our site may use cookies, Meta Pixel, Google Analytics or other tracking technologies for functionality and advertising measurement. You can manage or disable cookies in your browser settings and opt out of third-party ad tracking via provider tools. Disabling cookies may affect site functionality.

10. Minors

Our services are not intended for children under 13. We do not knowingly collect personal information from minors. If we learn we have collected such information without parental consent we will take reasonable steps to delete it.
